Sell merchandise and other products in the online shop
Use this to sell physical goods or other items without a date in the online shop, such as T-shirts, books, souvenirs, or gift sets. You do not need an event or admission to sell a product A sellable item such as merchandise, an add-on, or another extra. Products can also be attached to event prices.. Customers can buy products on their own or add them to a ticket order.
Products are maintained in KORONA.studio and synchronized to KORONA Event. You create the product, set its price, and mark it for the online shop in KORONA.studio. Then you prepare how it appears online in the KORONA Event back office.
Before you start
You need:
- access to the KORONA.studio account that is connected to KORONA Event
- an active KORONA.studio synchronization; see Understand KORONA.studio synchronization
- a published online shop; see Publish your first online shop
- permission to update products in the KORONA Event back office
Create the product in KORONA.studio
- In KORONA.studio, create the product or open an existing one.
- Enter the name, product number, price, and sector. The sector sets the tax rate that KORONA Event uses for the product.
- Add the merchandise keyword as a tag. The default keyword is
use-as-merchandise. To see the keyword for your account, open Sales > Shipping > Shipping settings in the KORONA Event back office. The Merchandise note shows it. - If the product must be delivered to the customer, also add the shipping keyword. The default is
requires-shipping. For details, see Ship merchandise orders. - Save the product and wait for the next synchronization. This usually takes about 15 minutes.
The merchandise keyword lists the product in the online shop's product pages and offer lists. It also puts orders that contain the product into the Requires shipping list under Sales > Shipping.
Price, tax, KORONA.studio tags, and the product's base name and description always come from KORONA.studio. To change them, edit the product in KORONA.studio and wait for the next synchronization. The shop texts you add in the back office are kept when KORONA.studio synchronizes.
Prepare the product in the back office
- In the back office, open Services > Products.
- To find your products, filter by Is a merchandise product.
- Select the product.
- On the Online display tab, add what customers see in the shop:
- Enter the Name and Description customers see, including translations if the shop is offered in more than one language. Without them, the shop uses the texts from KORONA.studio.
- Upload an Image.
- Add Tags if a shop list should filter by them. These are KORONA Event tags, not KORONA.studio tags; see Use tags to organize events, reports, and shop filters.
- Select Update.
- Open Capacity settings. For merchandise, turn off Count towards capacity and Represents an attendee, then select Save changes. Represents an attendee is on by default. If you leave it on, every item sold creates an attendee record as if it were a ticket.
- Optional: On the Customer communications tab, add Information for the customer or Attachments to include in the order emails. Examples are care instructions or pickup details.
Show the product in the online shop
A product is published automatically the first time it is synchronized. To prepare it before customers can see it, take it offline right away and publish it when it is ready. The side panel shows Visible in shop and a link that opens the product page in the shop. Each product page has a link in the format /products/<product number>.
To help customers find the product, choose one or more of these options:
| Where | How |
|---|---|
| Built-in Products page | Activate the Products page in the shop. It lists all merchandise products. |
| Offer list | In Page Builder, add an Offer List block and select Products under Types. You can narrow it with Tags. |
| Shop menu | Add the Products page or a direct product link as a custom navigation item. |
| Direct link | Copy the product link from the side panel and use it in newsletters, social media, or on your website. |
To split products into categories such as T-shirts and books, with a category filter or a separate page per category, see Organize products into categories in the online shop. For all page options, see Customize shop page content and ordering.
To control the product's place in a list, select Set custom position in the side panel. Lists sorted by Position use this value.
Offer products as add-ons to tickets
You can suggest products after a customer adds a ticket or another product to the cart. Configure this in KORONA.studio:
- Give the add-on products a shared tag in KORONA.studio.
- Open the product customers buy first, such as the product behind a ticket price, and enter this tag in its Zusatzverkauf field.
- Synchronize.
After the customer selects Add to cart, the shop shows Recommended add-ons with the matching products. Customers can add them or select Skip and go to cart. In the back office, the Related products tab on the product shows the current setup as read-only.
For bundles and add-ons that are part of the product itself, see Configure product capacity and sub-products.
What customers see and receive
- The customer opens the product page, chooses a quantity, and selects Add to cart.
- In the cart, the customer selects Proceed to Checkout and completes checkout with the payment methods configured for the shop.
- If the product must be shipped, checkout asks for a Shipping address. If you set up a shipping fee, it appears in the cart as a Shipping row.
After the order is completed, the customer receives the order confirmation email and any invoice your account is set up to send. For a standalone product, they receive a ticket only if Represents an attendee is on and the product's production type prints tickets. Bundles may include tickets for sub-products that represent attendees.
Staff can sell the same products in the back office. Select Book in the product side panel, or add the product while creating an order; see Add an order manually in the back office.
Take a product offline
Take a product offline when it is sold out or no longer available:
- Open Services > Products and select the product.
- In the side panel, next to Published on, select Revert publishing.
- Confirm with Revert publishing.
Customers can no longer find or order the product in the online shop, including through its direct link. The product stays unpublished when KORONA.studio synchronizes. To sell it again, select Publish now, or select Set publishing date to publish it automatically at a later time.
For other changes, edit the product in KORONA.studio:
| Goal | What to do in KORONA.studio |
|---|---|
| Retire the product permanently | Delete the product. After synchronization, it moves to Archived products and can no longer be ordered. |
| Change the price or name | Edit the product and synchronize. The change applies to new orders. |
Troubleshooting
| Problem | What to check |
|---|---|
| Product is missing from Services > Products | The product is active in KORONA.studio and the last synchronization finished. Check Last successful synchronization under Admin > Integrations. |
| Product is missing from shop lists | The product is published and has the merchandise keyword, the Products page or offer list is active, and the list's Tags filter matches the product. |
| Customers receive a ticket for merchandise | Turn off Represents an attendee for goods that do not need tickets, including any sub-products. Alternatively, assign a production type that does not print in KORONA.studio and synchronize. |
| Product appears in the attendee list | Turn off Represents an attendee under Capacity settings. Existing orders are not changed. |
| No shipping address or fee at checkout | The product's shipping keyword and the Shipping product under Sales > Shipping > Shipping settings. |
For shipping setup, see Ship merchandise orders.
